Reference letters: decoding the wording

From highest praise to faint effort: what reference grades really mean and when to object.

References speak in code: they must sound kind and stay true – the grade scale lives in between.

The grade scale

  • Excellent: the highest praise formula – nothing ranks above.
  • Good: the standard formula for solid performance.
  • Warning signs: faint effort, hedging phrases or a missing thanks.

Checking and objecting

  • Completeness: duties, duration, conduct and thanks belong in.
  • Deadlines: object in writing – ideally within weeks.
  • Always ask: request a full reference at every job change.

Frequently asked questions

Simple or full reference?

Full: it rates performance and conduct, not just dates.

Challenge a bad reference?

Yes – kind and true is the bar, not the boss's discretion.
